Attendees: Aileen Anderson ( board at large), Benjamin Lies (president), Michael Peeler (VP) Scott Wyatt (treasurer),, Renee Taylor (Secretary)

 

Buildium access – do we all have access. Check our access as time limit for pwd may expire.

 

Attend city hall meeting august 2.. Can we attend?

 

Board Legitimacy= 51% + 1 vote to make a quorum. Quorum is required if we want to make a change to the covenant rules. We need 51% + 1 of homeowners to vote for changes.

 

We are having issues with how board was handled. We had an emergency meeting. If we try to force a lien on someone and you didn’t have a quorum, then that action isn’t bound.

We need an attorney as 50%+1 didn’t participate in the HOA meeting. We can say it was an emergency meeting, plus the links didn’t work at first when Weichert sent them out to join the meeting. This is only about awareness.

 

We need to reduce lawnscape fees.  Who is responsible for the mowing of the backyard of the subdivision? We need to request new bids for mowing and weed spray. We need to find out when lawn contracts end.

 

Action Item is to  address the people who have not paid their HOA fees. Do we need to send letters to unpaying homeowners and tell them they need to pay their fees, they signed the agreement and if no payment they will incur attorney fees, court fees and back due fees?

 

What are the infractions and add fees for defined infractions. Attorney will advise us what actions we can take.

 

We need speed limit signs. We go to city and request speed signs.

 

CCR’s are already in place. Covenants, conditions and restrictions

 

Safety in board members.. Who contacts the home owners. Sense of community..We need to push neighbors to want community within our neighborhood. We can plan community get together and our association to pay forit. Maybe have a mempop truck and include the neighbors.

  1. Hearing people and address their problems and concerns
  2. Find an attorney
  3. Association takes action

We can reach out to one or two neighbors and let them know our direction.

  1. Meet with Weichert as we have questions. What are our expectations of Weichert, we tell them. Fees, what do we get for your management, define the fees, why that number… What do we get from you managing us?
  2. We need an attorney.
  3. We need a vendor’s list and we need new bids. Light bill and water. Where are sprinkler systems and we need weeds sprayed.. Are they charging us sewer costs? Does Weichert have a land plan for our subdivision, and what are the common areas?
  4. Do the Shockely’s mow that common area? At end of my street, on my side on wirt.
  5. Can we get Oakland to put in speed bumps on our street?
  6. Fairway Hills website-who maintains it – Weichert. Weichert truck drives thru once a month.
  7. Do we want to eventually take over our HOA management?
  8. How do we communicate with the homeowners?
  9. We may have a hard time pushing renters, going forward we may want to ban renters.
  10. Delinquency – if you are 60 days past due, you can’t vote.
  11. We are about $8,000 behind in people not paying hoa fees.
  12. Meridian handles the rental properties.
  13. Aileen to get in touch with Jeanette with access to Buildium. Get plot info for common areas.
  14. Benjamin will create a mailing list and send out emails to homeowners. Pay your fees and expectations.
  15. Scott to review our bills. Ben to get with Weichert. Not much progress with the response from Jeanette.
  16. Board to meet again before sending letters out to homeowners.
